Terms for Hosts

1. Terms of service

a. Our Mission

Founded in 2021, Beamya is a Zurich-based online experiences marketplace that helps companies build better relationships at work. We will re-imagine the way you work with your colleagues and make it funnier, simpler and better.

b. Hosting on Beamya

Host

As a Host, Beamya offers you the right to use the Beamya Platform to share your Experience with our vibrant community of Guests - and earn money doing it. It’s easy to create a Listing and you are in control of how you host - set your price, availability, and rules for each Listing.

Contracting with Guests

When you accept a booking request, or receive a booking confirmation through the Beamya Platform, you are entering into a contract directly with the Guest, and are responsible for delivering your Host Service under the terms and at the price specified in your Listing. You are also agreeing to pay applicable fees like Beamya´s service fee (30%) for each booking. Beamya Payments will deduct amounts you owe from your payout unless we and you agree to a different method. Any terms, policies or conditions that you include in any supplemental contract with Guests must: (i) be consistent with these Terms, and the information provided in your Listing, and (ii) be prominently disclosed in your Listing description.

c. Managing your Listing

Any offer of an Experience is subject to our Additional Terms for Experience Hosts.

d. Cancellations and Booking Modifications

Cancellations

If you Host an Experience please note that the Refund policy apply to your Reservations. See the link for details about what is covered, and what your payout will be in each situation.

Booking Modifications

Hosts and Guests are responsible for any Booking Modifications they agree to make via the Beamya Platform or direct Beamya customer service to make on their behalf, and agree to pay any additional amounts, fees or taxes associated with a Booking Modification.

2. Community Policy

2.1.Experiences Standards

In addition to behaving in accordance with our Community Standards, which apply to all community members, Beamya experienced hosts must meet the following quality standards and requirements. Before any experience is published, it is reviewed based on the below criteria and it must continue upholding these standards to remain on Beamya.

Hosting requirements

Hosts must provide expertise, insider access, and connection to the experience. Learn more about these standards.

  1. Guests should always know exactly who will be hosting them

If a friend, partner, or a team is helping you host or manage your experience, they must be registered as a co-host or assistant. Co-hosts must also be assigned to the instances they are leading so that guests know their host in advance.

  1. Hosts may not hand guests off to 3rd party suppliers, or leave guests on their own without a host

Hosts and co-hosts must personally lead their guests throughout the entirety of the experience.

  1. Only Beamya guests on an Beamya experience

Once a host lists an experience for a particular time and date on Beamya, only Beamya guests can attend that instance of the experience. Hosts are not permitted to mix guests from Beamya and other platforms on the same instance of an experience.

Hosting commitments

  1. Hosts must honour all booked reservations

Hosts must honour their reservations, unless the host must cancel due to a valid extenuating circumstance or safety concerns.

  1. Guest reviews, ratings, and engagement

Experiences must maintain a high overall rating and guest engagement level. Customers like to know that they can expect a consistent level of quality, regardless of the experience they book. Hosts with consistently low reviews (1-3*), or insufficient page views and bookings, may have their listings suspended and/or removed from Beamya.

Hosts are expected to abide by these standards and with our Terms of Service and Additional Terms for Experience Hosts. Experiences that don’t meet any of the above standards may be removed from Beamya.

Verification requirements

Evident ID Verification. If an experience includes a technically specialised activity where we require proof of a licence, certification, or insurance, it will not be published if any of the following is true:

  • The host does not submit the requested documents to our validation partner Evident ID
  • The required documents are expired
  • The name(s) on the documents does not match the name listed on the host’s Beamya profile  
  • The documents don’t meet our licence or insurance requirements
  • Evident ID cannot process the provided documents for any other reason.

Experience requirements

What we don’t allow:

  • Mistreatment of animals
  • Intellectual property violations
  • Inappropriate or discriminatory content
  • Payments outside of Beamya’s system.

2.2. Online experience requirements

An online experience is live, not pre-recorded, with an engaging host who offers interactivity and connection with their guests.

Online experiences must meet the quality standards and requirements for Beamya Experiences. Additionally, every online experience must meet the following requirements in order to be published and remain on Beamya.

  • Listing requirements
  • Online experiences must happen live for guests and not be pre-recorded.
  • Online experiences must be designed for “doing” and not just “watching.” The “What We’ll Do” section should describe how guests will interact with the host.
  • Guests must be able to participate in the experience from home. Guests should not need to leave their home at any point during the experience.
  • All required supplies must be disclosed to the guest before they book. If the experience requires any supplies, these should be clearly & specifically detailed on your page, so guests know how to prepare.
  • Certain services - such as photo shoots, event planning, and medical counselling - are not permitted as online experiences.
  • Certain specialised activities are not permitted as online experiences. This includes, but is not limited to, driving, boating, flying, scuba diving, paragliding, rock climbing, off-roading, or the use of projectile weapons.

All online experiences submissions also require a video recording that highlights key elements of the experience for review. Each online experience video will be reviewed for the following:

  • High quality audio and video
  • Clear outline and structure
  • Strong introduction—outlining your expertise, passion, and goals for the experience
  • Quality and depth of guest participation, interaction, and engagement
  • Demonstration of key elements—learnings, highlights, and takeaways

Hosting requirements

The video communication platform that Beamya offers, as the first choice is Zoom. However, it can allow the use of another platform at the request of the customer but it must respect the same conditions as Zoom.

Use Zoom appropriately. When using Zoom, hosts should not (1) use their Beamya- provided Zoom account for anything other than hosting their experience, (2) record (including audio or video) live experience sessions, or (3) take or share photos or screenshots without participant permission. Hosts may not take or share any photos or screenshots when children are in attendance, regardless of whether they have permission. There are no exceptions.

Be prepared for late guests. When guests are late, hosts may disallow guests from entering the Zoom meeting or allow guests to enter even though the experience has already started. Guests won't be able to receive a refund according to our Experiences Guest Refund Policy, but will still be able to leave a Google Review.

Hosting an online experience

When hosting an online experience, hosts may not:

  • Collect, ask, or encourage guests to reveal personally identifying or contact information (ex: email addresses, phone numbers, physical addresses/locations).
  • Discuss, ask, or encourage others to discuss health information (ex: whether they’ve been tested for COVID, if someone in their family is sick, etc.).
  • Target children as the audience for their experience, or use a child as a host or co-host of the experience.
  • Allow a minor (under the age of 18) to attend the experience without a parent or guardian present.

Online experiences that don’t meet any of the above requirements may be removed from Beamya.

These requirements may be updated as we continue to adapt to the circumstances of each region.

Listing page requirements

The experience itinerary must be clear, complete, and accurate. Guests should know exactly what to expect upon booking the experience. This applies to all experience details, including:

  • What guests will be doing
  • Meeting instructions for meeting up with the host
  • What’s included in the price (e.g. what the host is providing for guests)
  • What guests need to bring with them
  • The time and date of the experience

  1. No “open-ended” itineraries

Each experience must have a clear, pre-defined itinerary—we can’t accept “open-ended” plans where guests are asked to define an experience’s itinerary, or choose activities. It’s OK to include minor variations.

  • Not allowed: "I’ll meet guests and then we’ll see where the afternoon takes us!"
  • Allowed: "My baking experience is different based on the day of the week. On Mondays, we bake bread, and on Tuesday, we bake cookies."
  1. Photos and videos must meet Beamya´s  photo and video quality standards.

Hosts must list their experience as an individual, not a business. The host’s profile photo must be a clear picture of the host and not a company logo. The host’s profile name must be the host’s personal name and not a business name. Hosts should describe themselves in the “About Me” section of the experience page.

 

2.3. Hosting requirements

Hosts must provide expertise, insider access, and connection to the experience.

Hosts take companies into their worlds, helping them feel like an insider, even if for just a few hours. Experiences in the Beamya marketplace must meet Beamya’s bar for quality. To be published, an experience submission must demonstrate expertise, insider access, and connection. These standards help ensure that the market has high-quality experiences led by knowledgeable, hospitable hosts.

Expertise

Do you have a passion for a craft, activity, and/or your community? When designing your experience idea and submitting for review, this is a great place to start! In addition to passion, an expert host should consider what unique experience, credentials, or perspective they have on the main subject matter of their activity. Be sure to make this clear in your experience submission.

Here are three examples of how you might explain your expertise on a subject matter, with differing levels of success:

a. Low Expertise

“I love calligraphy!” This statement doesn’t quite explain the details of how or why you’re an expert on the craft.

b. Some Expertise

“I’ve studied calligraphy for five years and recently started teaching my friends.” This statement gives some helpful insight into what qualifies you to lead this experience.

c. High Expertise

“I teach calligraphy at the SF Asian Arts Center. I recently spoke at the International Calligraphy conference on ‘Calligraphy in the Digital Age.’” This statement does a great job at demonstrating significant expertise in your subject matter.

Do you have to be a master to host an experience? No! Just make sure to highlight what unique expertise you have that is relevant to the experience.

In the end, consider why you’re the perfect person to host this particular experience. Go deeper than the surface with personal stories and context that bring the experience to life. How do you define your expertise?

Insider Access

Great experiences unlock activities that the average guests wouldn’t likely discover on their own.

Consider offering access to something unique or otherwise inaccessible to the average guest to increase your experience’s chances of being published on Beamya. When submitting your experience, make sure to highlight what’s special about the experience you’ll share with your guests.

Make sure to highlight your own connection to these activities in your submission. Ask yourself, why are they special to you, and why would your guests also find them interesting? Consider sharing a lasting memory that relates to them.

Connection

A great Experience Host is dedicated to creating meaningful human connections. They go out of their way to make guests feel welcome and recognized. They are warm and thoughtful, creating moments of connection with their guests, and making them feel special along the way. If the host creates a good connection, guests will often arrive at an experience as strangers, and leave as friends.

When submitting your experience, highlight the ways you will consider the details and ensure that guests feel safe, engaged, and connected throughout the experience.

Here are some questions to ask yourself as you craft your experience idea:

  • How are guest needs like dietary considerations, accessibility, or safety concerns taken care of?
  • How will you help guests connect and interact with each other in your experience?
  • How will you take into account the comfort levels of a wide spectrum of guests from many different cultures?

Remember, all experiences must meet these quality standards in order to make it onto the Beamya marketplace. The way you communicate each one of these qualities in your experience page matters. Carefully highlight unique expertise, insider access, and connection in these sections:

  • ‘About you’ – Remember to share why you are the best person to host this experience, how your expertise relates to the activity, and what makes you a thoughtful host.
  • ‘What you’ll do’’ – Describe the unique access that you will provide—be specific! Anticipate questions guests may have, and have answers ready in advance.
  • ‘What's included”’ – Include anything special you will include in the experience.

2.4. Additional Terms  

You agree to these Additional Terms for Experience Hosts ("Experience Host Terms") when you submit a Listing for an Experience on the Beamya Platform.

1. Listing an Experience. To list an Experience, you must create a Listing and submit the Experience and  to Beamya. Experiences must at all times meet Beamya Experiences Standards . When listing an Experience you must, where applicable, fully educate and inform Guests about (i) any risks inherent or incidental to the Experience, (ii) any requirements for participation, such as the minimum age, related skills, or level of fitness, and (iii) anything else they may need to know to safely participate in the Experience (including dress codes, equipment, special certifications or licences, etc.). Beamya reserves the right to decide, in its sole discretion, whether a submitted Experience will be published on the Beamya Platform.

2. Hosting Beamya Guests. Once your Experience is published on the Beamya Platform, you agree that only people who book through Beamya can attend that Instance of the Experience. You further agree that you will not allow people to attend any Instance of your Experience available on the Beamya Platform unless that person booked through Beamya (or was added as an additional Guest for a spot booked through the Beamya Platform).

3. Equipment. You are responsible for providing all equipment necessary to host your Experience. You are solely responsible for ensuring that the Equipment used in your Experience is in good working order and conforms to all laws pertaining to safety, equipment, inspection, and operational capability. Except as otherwise required by law, you assume all risk of damage or loss to your Equipment.

4. Additional Experience Host Responsibilities. You are responsible for (i) understanding and complying with all laws, rules and regulations that may apply to your Experience, (ii) obtaining any required licences, permits, or registrations prior to providing your Experience; and (iii) ensuring that your Listing and/or Hosting of an Experience will not breach any agreement you may have with any third party.

5. Termination. As an Experience Host, you may terminate this agreement at any time by sending us an email. Beamya may terminate this agreement immediately and without notice and stop providing access to the Beamya Platform if you materially breach this agreement and/or our other Terms or Policies, you violate applicable laws, or we reasonably believe termination is advisable to protect Beamya, its Members or third parties. If your Experience Listing has been inactive for 120 or more days, we may remove it from Beamya.

6. Insurance. We may require that you obtain your own insurance in order to publish an Experience on the Beamya Platform. In such cases, you agree to obtain and maintain insurance for you, the members of your team or organisation, and/or your Experience with the coverage and in the amounts determined by us in our sole discretion for any and all activities that take place on your Experience. You agree to cooperate with Beamya to verify such insurance coverage.

9. Severability. If any provision or part of a provision in these terms is held to be invalid, void, or unenforceable, such provision (or the part of it that is making it invalid, void or unenforceable) will be struck and not affect the validity of and enforceability of the remaining provisions.

10. Modifications to these Experience Host Terms. Beamya reserves the right to modify these Experience Host Terms at any time.

11. Survival. If you or we terminate these Experience Host Terms, the clauses of these Experience Host Terms that reasonably should survive such termination will remain in effect. When these Experience Host Terms are terminated, you are not entitled to a restoration of your account (if your account is cancelled) or of the Member Content.

2.5. Experiences Refund Policy

As a Host, you fully agree to the following refund policy.

  • The Host fails to carry out the booked Experience or arrives more than 15 minutes past the stated start time, causing the Client to abandon the Experience.
  • The Host makes significant changes to the Experience after booking.
  • The Client cannot attend, or a Host cannot lead the Experience because of technical difficulties, including audio or visual issues.
  • The Host cancels the Experience. If this happens, the Client gets a full refund and can rebook the experience. This has however never happened before.

Cancel or reschedule an online Experience

  • The Client gets a full refund for any Experience if it is cancelled 10 working days before the Experience is scheduled to start.
  • The Client gets a full refund for any no-show if it is communicated to Beamya 10 working days before the scheduled Experience. Otherwise, the Client needs to pay the full amount for any reduction in the number of guests.
  • If the Client wants to reschedule the date and time of the Experience, he/she can do that up to 7 working days before the Experience starts.

General Provisions

The Experience Refund Policy does not:

  • constitute an offer to insure
  • constitute insurance or an insurance contract

Furthermore, the Guest has not paid any premium in respect of the Experiences Guest Refund Policy. The benefits provided under this Experiences Guest Refund Policy are not assignable or transferable by a Guest.

All determinations of Beamya with respect to the Experiences Guest Refund Policy shall be at Beamya´s discretion, and final and binding on the Guests and Hosts.

Beamya reserves the right to modify or terminate this Experiences Guest Refund Policy, at any time, in its sole discretion. If Beamya modifies this Experiences Guest Refund Policy, we will post the modification on the Beamya Platform or provide you with notice of the modification.

2.6. Community Standards

Creating a world where anyone can truly belong requires a foundation of trust grounded in consistent expectations of host and guest behaviour. We’ve established these Community Standards to help guide behaviour and codify the values that underpin our global community.

This is a living document, as we’re constantly refining our approach to meet the needs of our community. But these five standards—safety, security, fairness, authenticity, and reliability—remain central pillars in our efforts to help ensure safety and foster belonging. We’re always working to make sure they’re upheld and enforced.

Safety

Your Beamya experience begins the moment you embrace adventure. That’s only possible when you trust this community and feel safe. As a result, we require that you refrain from endangering or threatening anyone.

Harming yourself or others

You should not commit any act of violence. Members of dangerous organizations, including terrorist, organized criminal, and violent racist groups, are not welcome in this community. Beamya is committed to working with law enforcement as appropriate and responding to valid law enforcement requests.

We take suicide, self-injury, eating disorders, and hard drug abuse extremely seriously and work to help people in crisis.

Threatening anyone

You should not convey an intent to harm anyone by your words or physical actions. We also take threats of self-harm as seriously as we do actions and may intervene if we become aware of a threat.

Security

Our Beamya community members share their experiences. You should always  trust that you will feel secure. We ask that you respect the personal information of others.

 

Theft, vandalism, or extortion

You should not threaten anyone with bad ratings or any other penalty or harm to obtain compensation or other benefits.

Spam, phishing, or fraud

You should not make transactions outside of Beamya´s payments system; commit booking fraud, credit card fraud, or launder money; attempt to drive traffic to other sites or market unrelated products; divert payments meant for others; abuse our referral system; or make false claims against other members of the community.

Violating others’ privacy or intellectual property rights

You should not spy on other people; cameras are not allowed in your listing unless they are previously disclosed and visible, and they are never permitted in private spaces (such as bathrooms or sleeping areas). You should not access others’ accounts without authorization or violate others’ privacy, copyrights, or trademarks.

Fairness

The global Beamya community is as diverse, unique, and vibrant as the world around us. Fairness is what holds us together, what makes it possible for us to trust one another, integrate seamlessly within communities, and feel as if we can truly belong.

Discriminatory behavior or hate speech

You should treat everyone with respect in every interaction. So, you should follow all applicable laws and not treat others differently because of their race, ethnicity, national origin, religious affiliation, sexual orientation, sex, gender, gender identity, disability, or serious diseases. Similarly, insulting others on these bases is not allowed.

 

Bullying or harassing others

You should not share personal information to shame or blackmail others, target others with unwanted behaviour, defame others, or violate our review and content standards.

Authenticity

Your Beamya  experiences should be full of delightful moments and surprising adventures. Since our community is built on trust, authenticity is essential—it requires a balance of shared expectations, honest interactions, and accurate details.

Misrepresenting yourself

You should not provide a false name or date of birth, maintain duplicate accounts, or create an account if you’re under 18.

Reliability

Every Beamya experience is unique and each detail specific to a host. Since our community makes commitments based on these details, we have to be able to trust each other’s reliability.

Breaking commitments

Absent extenuating circumstances, you should not cancel after the deadline set in the relevant cancellation policy.

Being unresponsive

You should not have persistently and pervasively low ratings, be unresponsive during booking or refuse to participate in our resolution process.

3. About Online Experiences

Online Experiences are live, not pre-recorded, with an engaging Host who offers interactivity and connection with their guests.

Online Experiences are live special events hosted by experts entirely over Zoom or other video communication platforms upon customer's request, giving you the chance to connect with people around the world in small groups for a personal and memorable experience.

How they work

  1. Come as you are: You can attend via desktop, tablet, or mobile device.
  2. They’re always live, always interactive, and they’re subject to the same quality standards. Learn more about Experiences Standards.  
  3. Guests have 30 days to write reviews, either privately for their Host or publicly for future guests.

4. Hosting an Online Experience

Submit your online Experience idea. If approved, you’ll use Zoom or another video communication platform at the customer's request to host it.

Join a community of Hosts bringing the world together in a whole new way.

Before submitting your online experience, please read  the Beamya Experiences standards.

The submission process

When you submit your experience for approval, you’ll need to provide:

  • A title for your experience
  • A description, including where you’re broadcasting from and what makes it special
  • Your activity description, including a clearly defined agenda
  • Your qualifications, history, or credentials
  • Direction on what guests should bring
  • High-quality photos of your experience, including a photo of you speaking in front of your camera or computer to show that the experience is taking place online
  • A photo ID, since you’ll be asked to confirm your identity

Once you have a great idea and all the details worked out, start your submission.

How they work

Online Experiences are hosted on Zoom or another video communication platform at the customer's request, a third-party video conferencing software, which you'll also need for the submission process.

Booking and attendance

  1. Booking
  2. When it's go time, guests will receive a link to join your Zoom meeting
  3. You can then use Zoom's Waiting Room feature to let them in after confirming they have a reservation

If you’re open to allowing multiple guests to join per device, let guests know in your description that they only need to book one spot.

Pricing and additional payment

What you charge is up to you. Just like in-person Experiences, Beamya will charge the Host service fee.

Online experiences are priced per person by default therefore 2 guests are not allowed in your waiting room if one of them has not pre-notified or paid for his/her participation.

4.1 What languages can I host an Online Experience In?

You can host an online experience in any language.

However, only online experiences offered in English, German or Swiss-German (with a video submission in English) will be reviewed and published at this time. We will notify you when online experiences in other languages are open for submission.

4.2. Using a video communication platform to host Online Experiences

In addition to hosting your online Experience through Zoom, you'll also use it to submit your demonstration for approval. Download it here.

Recording your demonstration

As part of the submission process, we’ll ask that you use Zoom to record a demonstration of your Experience.

You can use another service to record your submission video, but we strongly recommend using Zoom, so that you can get comfortable using it to host your Experience.

Activating your new Zoom account

When your Experience is approved, you’ll be prompted to activate a new Zoom account in your Experience settings. This is a unique Zoom account that's linked to your Beamya Experience—this new account must use an email address that’s different from any existing Zoom account you already have.

It may take up to 30 minutes after you complete all steps for the Zoom activation status to be updated.

Hosting

Finding your Zoom link

Your guests will receive a unique Zoom link for each instance of your Experience on your calendar. There 2 ways to find the link:

  • In confirmation email sent each time a guest books
  • In the reminder email sent before your Experience starts

Letting guests in

Zoom's Waiting room feature allows you to control who joins your Experience by letting each guest in one by one. So if a guest shares the Zoom link with another guest who wasn't included in their reservation, you don't have to let that extra unpaid guest in.

Troubleshooting

If you’re having an issue related to Zoom, contact the Zoom Help Center. If your guests are having issues, it might also be helpful to send them this article on attending online Experiences.

4.3 Photo Quality Standards

Photos and videos play an important role in sharing your story and help potential guests get excited about booking your experience.

How are photos and videos displayed on my page?

Your Experience page will display a “grid” of 4 photos that tell the visual story of your experience.

The first photo is called the cover photo (# 1 below). This is the image that appears in Beamya search results.

The rest are gallery photos (#2 below) and one video. You must have at least 4 photos uploaded in order for them to appear in a grid layout.

Requirements for all photos and videos

  1. High-quality photos of your experience, including a photo of you speaking in front of your camera or computer to show that the experience is taking place online
  2. Show a wide variety of details and angles. Photos should include details of the experience. Make sure your photos don’t look too similar.
  3. At least one photo must include a person (e.g. Host or Guest) and this photo must represent your experience as a whole. This will be used as your cover photo.
  4. Photos should be candid and natural. Avoid selfies or unnaturally posed photos.
  5. Photos should all describe an interesting element of the experience. Don’t use photos that lack context, or that may be confusing to Guests.
  6. Photos must be horizontal oriented. However, it must be possible to crop the photo vertically, without losing key information.
  7. Photos must be natural colour. No black and white, and no heavy filters.
  8. Photos can not have text or images (e.g. logos) overlaid on the image.
  9. Photo must be an individual image, not a collage of several photos.
  10. Photos can’t be blurry, stretched, or distorted. The minimum resolution size is 1080px
  11. Photos must be well-lit and not too dark. Make sure the subjects of the photo are visible.

Additional photo content guidelines

  1. Children shown on the cover photo must be with an adult. If your experience is for families with kids, make sure the majority of your photos include the parent, teacher, or guardian accompanying any children.
  2. Alcohol & smoking –  All individuals shown in photos that include alcohol or smoking must appear to be at or over the legal age to participate.
  3. Photos may not depict sexually explicit scenes (e.g. nudity), drugs, illegal activities, or obscenity.
  4. Photos must be relevant to the experience.

As described in the Beamya Terms of Service and Additional Terms for Experience Hosts, it’s your responsibility to ensure that you have the right to post the photos you submit and that you are complying with all relevant marketing, intellectual property, and other laws.

Summary

We know it’s a lot of information! You may want to refer to this checklist before you submit photos:

  • High-quality photos of your experience, including a photo of you speaking in front of your camera or computer to show that the experience is taking place online
  • The cover photo shows hosts/guests interacting on the experience
  • The cover photo conveys what guests will be doing during the experience
  • Photo grid should show a variety of details and angles
  • Photos can’t be duplicates or too similar to one another
  • Photos can’t be a selfie and people are not unnaturally posing
  • Photos must be horizontally oriented. However, it must be possible to crop the photo vertically, without losing key information.
  • Photos must be in colour, not black and white
  • Photos can’t have text or logos overlaid on the image
  • Photos must be an individual image, not a collage of several photos
  • Photos must be high resolution (1080px)
  • Photos must well-lit and not too dark
  • Photo can’t be stretched or distorted
  • Photos can’t show underage drinking or smoking

Creating a stand-out video for your online experience application

Ready to submit an idea for an online experience? As part of the process, you’ll need to upload a video demonstration. The recording can be as concise as you’d like, but please don’t go over 15 minutes.

The purpose of the video submission is to better understand if an experience meets the Experience Quality Standards, and to get our hosts comfortable working with Zoom. Keep in mind, with this video, you won’t need to show a complete demonstration of your experience.

The following are suggestions for using your video submission to showcase what makes your experience a great fit for Beamya.

The basics

What your video submission should demonstrate:

  1. Technical quality: We want to make sure you know how to use Zoom and that your audio and video are clear.
  2. Expertise and storytelling: Let us know who you are, your background, and any unique qualifications. You may share any personal stories that showcase your passion.
  3. Preparation and atmosphere: Hosts should be well-rehearsed in what they’re providing. Your environment and supplies should be well thought out.
  4. Outline and structure: We want to know what will happen at each stage of the experience and how you plan to incorporate guest participation, interaction, and engagement.
  5. Demonstration: Show us the key elements—learnings, highlights, and takeaways of your experience.

Creating your video submission

Ready to record your submission? Downloading this checklist, available in English, German and Swiss-German, can help you prepare your video submission for review.

  1. Once you’re ready to record, download and log into the Zoom desktop app.
  2. Start a Zoom meeting as the host. Click the option to Record.
  3. Record your submission, remembering not to go over 15 minutes.
  4. Once you are finished, stop recording. The recording will save to your device.
  5. When you submit a new experience, you’ll be prompted to share your recording.

Suggested best practices

a. Set the “stage”

  • Minimise distractions: Turn off any alarms, computer or phone alerts, and other interruptions that might show up in your space or on screen.
  • Background: Set the scene. Organise plants, props, or anything within the space that allows guests into your world. .

When including artistic, musical, dramatic, literary, or video content, make sure that it’s something you created, it’s in the public domain, or you have the creator’s permission to use it in your experience.

  • Interact with a guest: Ask a friend or family member to attend so you can show how you’ll interact with a guest. If you don’t have help, you can treat the camera as your guest.

b. Get technical

  • Camera: Make sure your device is at a good angle and distance to record all the action.
  • Centralise the elements: Your video should be shot horizontally but should be able to be cut vertically for social media use.
  • Lighting: Ensure that guests can clearly see you.
  • Audio: Eliminate as much background noise as possible. Test your audio beforehand. If you will be moving around we suggest using a microphone headset/earbuds. Be sure if you are playing any music that you have licensing rights.
  • Internet speed and settings: Check that your device, settings, and internet connection are optimised, so your recording is clear. Here are Zoom’s outlined requirements.

Consider quality

  • Preparation: Is your space set with everything you need? Do the guests you’ve asked help understand their role? Have you tested your audio and internet connection?
  • Start strong: Just like it does offline, your first impression can set the tone for the entire experience. Introduce yourself and outline what guests can expect throughout their time.
  • You are the star: Remember to demonstrate your unique expertise through education, storytelling, and exhibiting your passion.
  • Keep it lighthearted: You’re creating a space for people to connect. Focus on the positive, keep your experience casual and conversational.

As you put the finishing touches on your experience, please remember that, for any music, photos, video, or other materials that you didn’t create yourself, you’ll need to get the rights to use it before you start hosting. By respecting the rights of artists, you help make experiences a more welcoming place for everyone.

4.5. Can I update the video recording I added to my online experience submission?

Once you’ve submitted your online experience for review, you cannot update your submission with a new video recording. If you need to update the video recording, you’ll need to resubmit your entire online experience for review, along with the new recording.

4.6. Why was the video recording for my online experience submission declined?

An online experience video submission may be declined if it does not meet any of the following requirements:

  • Under 15 minutes in length
  • High quality audio and video
  • Clear outline and structure
  • Strong introduction—outlining your expertise, passion, and goals for the experience
  • Quality and depth of guest participation, interaction, and engagement
  • Demonstration of key elements—learnings, highlights, and takeaways
